How to use this list

This is not a menu to work through. It is a prompt list. Read it with your own operation in mind, mark the four or five that describe work you actually do, then score those on volume, time consumed and cost of a miss. Pick one.

Each entry states what it does, who it suits best, and the one condition that determines whether it will work for you. That condition is usually the deciding factor — not the technology.

Customer-facing

1. After-hours enquiry handling. Answers questions and takes bookings when nobody is at the desk, on WhatsApp, web or phone. Best for restaurants, clinics, gyms, salons, hotels, real estate. Condition: the booking system must accept writes from outside its own interface.

2. Routine customer support. Answers documented questions instantly and escalates the rest with full context. Best for retail, subscription services, anyone with a repetitive support inbox. Condition: your documentation must be current and consistent.

3. Appointment reminders and rescheduling. Confirms, reminds, and offers one-tap change or cancel. Best for clinics, studios, professional services. Condition: a calendar or booking system with programmatic access.

4. Waitlist recovery. Automatically offers a released slot to the next person, with a time limit. Best for gyms, restaurants, clinics. Condition: cancellations must be captured in the same system as the bookings.

5. Instant lead response and qualification. Replies to every inbound lead within minutes and qualifies against your criteria. Best for anyone with inbound volume and a sales team. Condition: written qualification criteria — not "we just know".

6. Post-purchase and post-visit follow-up. A timely, relevant follow-up at the moment intent is highest. Best for fitness, wellness, retail, hospitality. Condition: you know who visited and when.

7. Multilingual customer conversations. Handles enquiries across the languages your customers actually use. Best for retail, hospitality, services with a diverse customer base. Condition: someone who can spot-check quality in each language.

Sales and marketing

8. CRM hygiene and enrichment. Keeps records complete, deduplicated and updated from conversations. Best for any team where the CRM is out of date. Condition: a CRM with API access.

9. Proposal and quotation first drafts. Assembles a complete draft from your approved language and a short brief. Best for professional services, agencies, B2B services. Condition: a clean, single-version library of approved content.

10. Marketing content production. Turns one approved source asset into the variants each channel needs. Best for small marketing teams with a heavy publishing schedule. Condition: a human approval step before anything publishes.

11. Meeting intelligence. Turns calls into decisions, actions and owners in your task system. Best for sales teams and consultancies. Condition: consent to record, and a defined retention period.

Finance and administration

12. Receipt and invoice processing. Capture once; extraction, coding and filing happen automatically. Best for every business with more than a handful of transactions a week. Condition: the accounting system must accept programmatic entries.

13. Payment matching and reconciliation. Matches incoming payments to invoices or bookings using per-transaction references. Best for businesses taking many small payments. Condition: payment references generated at the point of transaction.

14. Collections follow-up. Polite, scheduled, escalating reminders on overdue invoices. Best for B2B services. Condition: an agreed escalation ladder and a human at the end of it.

15. Month-end preparation. Continuous coding and exception flagging so the close is not an event. Best for finance teams closing late. Condition: someone owns the exception queue.

People and operations

16. CV screening and candidate shortlisting. Scores applications against your declared criteria and produces an evidence-based shortlist. Best for high-volume hiring. Condition: final hiring decisions stay human — this is non-negotiable, and both your process and your language should say so.

17. Candidate communication. Keeps every applicant informed, including the ones you decline. Best for any employer whose reputation matters. Condition: templates you would be happy to see published.

18. Internal knowledge answers. Answers staff questions from your own policies and past work, with citations. Best for firms where seniors are interrupted constantly. Condition: access control that mirrors your existing confidentiality boundaries.

19. Scheduling and dispatch. Matches jobs to available people and skills, and communicates changes. Best for maintenance, field services, home services. Condition: accurate, current availability data.

20. Inventory and demand signals. Flags reorder points and unusual movement early. Best for retail, F&B, distribution. Condition: at least twelve months of reasonably clean sales history.

The condition attached to each item is usually what decides the project — not the sophistication of the technology.

Anything failing the last two rows is a preparation project, not an automation project. Note it separately — the preparation is usually a fortnight and it is worth doing regardless.

What is deliberately not on this list

Work requiring genuine human judgment, empathy at a difficult moment, or physical presence. Final hiring decisions. Advice to clients. Performance conversations. Anything where a wrong answer costs trust rather than time.
