Information we collect
We collect information you provide through our forms (name, company, contact details, business information) and standard website analytics data. Specifically:
- Contact and assessment forms: name, company, email address, phone number, and any message or business details you provide.
- Guide requests: when you request a downloadable guide, we collect your full name, work email, company name, WhatsApp number, and optionally your job title. We also record which guide you requested, the time of request, and campaign attribution data (such as UTM parameters, referrer URL and landing page).
- WhatsApp number: your WhatsApp number is collected to send you a transactional message confirming your guide request and providing your secure download link. This message is sent via Meta's WhatsApp Cloud API. If you separately opt in to WhatsApp marketing, we may send you occasional AI insights and offers through WhatsApp. You can withdraw WhatsApp marketing consent at any time by contacting us at hello@aigentify.tech.
- Meta Lead Ads: if you submit a lead form through a Meta (Facebook or Instagram) advertisement, Meta shares your submitted information with us — typically your name, email, company, phone number and the ad campaign details. This data is processed in the same way as a guide request submitted on our website.
- Newsletter subscription: email address only.
- Website analytics: we use Google Analytics 4 and the Meta Pixel to understand how visitors use our website. These tools collect anonymised usage data such as pages viewed, time on site and general location. We do not send email addresses, names or other personal data to these analytics platforms.
How we use it
We use the information we collect for the following purposes:
- Deliver requested guides: to email you and send you a WhatsApp message with a secure, time-limited download link for the guide you requested.
- Follow up on your request: to contact you specifically about the guide topic or a closely related matter. This is not marketing — it is a direct follow-up to your expressed interest.
- Marketing communications (consent required): only if you explicitly opt in, we may send you occasional practical AI insights and offers by email and/or WhatsApp. Email and WhatsApp marketing are separate consents — you can opt into one without the other. You can unsubscribe from email marketing at any time via the link in every email, and withdraw WhatsApp marketing consent by contacting hello@aigentify.tech.
- Respond to enquiries: to reply to contact form submissions, assessment requests and other direct communications.
- Deliver services: to provide assessments, proposals and AI implementation services.
- Improve our website: to understand how visitors use our site and improve the experience using aggregated, anonymised analytics data.
We never sell your data.
Data processors
We may share your data with the following categories of processors, solely to provide our services:
- Email delivery: a transactional email service to send guide download links and communications.
- Hosting provider: our web hosting infrastructure where your data is stored securely.
- Analytics: Google Analytics 4 and the Meta Pixel for anonymised website usage analysis.
- Advertising: Meta Platforms (Facebook/Instagram) when you interact with our ads. Meta's own privacy policy governs data collected on their platform.
- WhatsApp / Meta: Meta Platforms (as the provider of WhatsApp Business Cloud API) processes your WhatsApp number and message delivery data when we send you a guide-delivery confirmation or, if you opt in, marketing messages via WhatsApp. Meta's WhatsApp Privacy Policy governs their handling of this data.
- Integration platforms: automation tools (such as Make/Integromat) to connect our advertising leads with our systems.
Data security
Client data is encrypted in transit (TLS) and at rest. Access is restricted on a need-to-know basis. Guide download links are cryptographically signed and time-limited (7 days). We store only secure hashes of access tokens, not the tokens themselves. Client business data is never used to train public AI models.
Retention
We retain personal data only as long as needed for the purposes described above:
- Guide request data: retained for up to 24 months from the date of request to allow follow-up and re-delivery, unless you request deletion sooner. This includes your WhatsApp number and WhatsApp message delivery records.
- Contact and assessment data: retained for as long as there is an active business relationship or enquiry, plus a reasonable period thereafter.
- Marketing subscribers: retained until you unsubscribe or request deletion.
- Analytics data: retained by Google and Meta in accordance with their own retention policies. We do not store analytics data that identifies individuals.
Your rights
You may exercise the following rights at any time by contacting us at hello@aigentify.tech:
- Access: request a copy of the personal data we hold about you.
- Correction: ask us to correct inaccurate personal data.
- Withdrawal of consent: withdraw your email marketing or WhatsApp marketing consent at any time by contacting hello@aigentify.tech. Withdrawing WhatsApp marketing consent does not affect the transactional guide-delivery message you agreed to when requesting a guide. This does not affect the lawfulness of processing carried out before withdrawal.
- Deletion: request that we delete your personal data, subject to any legal or contractual obligations.
PDPA compliance
